People and profiles

Kantalop helps you turn the expertise in your team and network into new business. When a client comes to you with a brief, you can find relevant people, see how their experience fits, and put forward tailored, branded CVs. With your consultants, freelancers, and candidates in one place, it’s easier to spot opportunities and show clients what you can offer.

Yes. The Consultancy + Agency plan brings your own consultants and your external network together in one workspace. Admins can search across both, making it easier to find the right experience for an assignment—whether it’s in your team or among the freelancers and candidates you work with.

Yes. Start with the CV you already have. Upload it as a PDF, and Kantalop reads the content, structures your experience and skills, and maps them to your company’s predefined CV template. You can then review and edit the result, without having to copy everything over or format it from scratch.

Admins can create groups and folders that reflect how you work, whether by team, office, or area of expertise. This makes it easier to browse a specific group of people and find relevant profiles when a new assignment comes in. Internal and external profiles have their own groups.

Yes. A person can have a main CV and additional versions for different clients, roles, or languages. For example, you might keep one version focused on project management and another on hands-on technical work. The versions stay together under the same person, making it easier to find the one you want to use.

Search, matching, resumes, and sharing

When a client sends you a role description, Role Match helps you find people whose experience fits what they’re looking for. It compares the brief with CVs in your workspace and gives you ranked suggestions, with an explanation of each match. You can search across your people or focus on selected groups and folders.

Each recommendation explains how the person’s experience relates to the role and links to the CV behind the match. This makes it easier to understand their strengths, spot any gaps, and decide who you want to put forward to the client.

You can search the content of profiles and CVs, then narrow the results by skills, skill level, roles, companies, or specific people. You can also focus on a group, such as your developers or freelance designers, to explore the experience within that part of your network.

Search is useful when you know what you’re looking for or want to explore the experience in your team and network. Role Match is a good starting point when you have a client brief and want help comparing people against its requirements. Both help you find relevant profiles, depending on where you’re starting.

Yes. Add the role description, and Kantalop suggests how to adapt the CV to highlight experience that matters for the assignment. This helps you show the client why the person is a good fit, without rewriting the CV from scratch. You review the suggestions and choose which ones to use.

Yes. Suggestions are shown for you to review before they’re applied. You can accept or dismiss them and edit the wording yourself, so the final CV reflects the person’s experience and how you want to present it.

Yes. Your company can create templates with its own branding, fonts, colors, and CV sections, so your team starts from a consistent design. There are four layouts to choose from: Standard, Editorial, Studio, and Monochrome. The customization options vary by layout.

Yes. You can create a copy in a template set to another language and have Kantalop translate the content for you to review. You can also hide the photo, surname, and contact details when presenting or exporting a CV. The first name remains visible, and you’ll still want to check the text for anything else that identifies the person.

You can send a link to the CV or download it as a PDF or Word document. PDF keeps the CV’s visual design, while Word gives you an editable file if the client needs to work with the content. The Word version uses its own formatting, so it may look different from the PDF.

Yes. You can turn sharing off at any time or let the link expire after 7 days, 14 days, or one month. You can also leave it open without an expiry date. These options apply to both individual CV links and staffing links. Files a recipient has already downloaded remain with them.

Yes. A staffing link brings a selection of people together in one presentation, making it useful when you want to propose a team or give the client several candidates to consider. For a single CV, you can use its own sharing link. Staffing links can also be protected with an access code.

You pay for the freelancer and candidate profiles stored in your workspace. A person with several CV versions still counts as one profile. For example, 50 external profiles cost 500 SEK per month on Agency & Staffing. There’s no minimum charge, so if you have no external profiles stored, there’s no external-profile fee.

Consultancy + Agency includes everything in Consultancy and Agency & Staffing. You can manage your own consultants alongside freelancers and candidates, search across both, and bring people from your team and network into the same client proposal. Contact us for a quote based on your setup.

Data privacy

Kantalop helps you keep track of how long you store freelancer and candidate profiles, inform people that they’re in your database, and handle requests to be removed. You can follow notifications, renewals, and removals in one place, making the day-to-day work easier to manage. Your company remains responsible for having a valid reason to use the data and choosing how long it should be kept.

Yes. With Agency & Staffing or Consultancy + Agency, you can choose a retention period for external profiles and set up automatic notifications and renewal reminders. You can also decide when the first notification is sent and customize the emails to explain why you’re keeping someone’s profile. Your team can follow the activity and see which profiles need attention.

Kantalop highlights profiles with missing email addresses and notifications that couldn’t be delivered, so your team can see what needs attention. You can add or correct contact details and use the activity history to understand what happened and follow up.

Yes. The notification and renewal emails include a link where the person can ask to have their profile removed. Kantalop records the request and handles the removal. Requests made through the first notification are processed immediately, while requests made through a renewal email are queued for scheduled deletion. Your team can follow the status in the activity history.

Integrations and API

Yes. Kantalop’s API lets you access profiles and CVs, search your data, and build connections to the tools you already use. You can also connect a website or application form to send incoming PDF CVs to your Kantalop inbox. These connections need to be set up first. If you have a particular workflow in mind, get in touch and we’ll help you understand what’s possible.

Yes. You can connect Kantalop to compatible AI assistants such as ChatGPT or Claude and use them to search for people and explore their CVs. For example, you could ask for people with a particular skill and then look more closely at their experience. The connection uses MCP and only gives the assistant access to the Kantalop data its permissions allow.

No. Kantalop complements ATS and CRM systems and focuses on making your data usable in day-to-day work. It includes some overlapping capabilities, such as allocation tracking and API inbox, that may cover the needs of smaller teams.

Platform & Features

You can import CVs to your template or start from scratch, create and manage CVs, use branded templates, highlight key roles, skills, and projects, share CVs via link or export, translate them, and anonymize them with the click of a button.

Use the Users section to search, browse, or filter your user database, organize users and external profiles by team, office, or category, and get an overview of available profiles.

Role Matcher lets you add a role description or customer request, match it against your database, get ranked candidates with clear reasoning, and quickly identify the best-fit profiles for opportunities.

The Allocations view provides an overview of ongoing and past assignments, visibility into customers, roles, and compensation, and insights for planning and utilization.

Staffing is used to combine multiple candidates or consultants into a team, present full teams to customers, and structure and package proposals.

Importing freelancers requires the External Profiles module to be enabled. You can upload CVs through External Profiles > Import resources and let Kantalop parse and structure them, or use the API inbox to route incoming freelancers from your website or forms. Once imported, they can be searched, matched, and used alongside internal profiles.

Candidates are handled as external profiles and require the External Profiles module to be enabled. You can upload CVs through External Profiles > Import resources and let Kantalop parse and structure them, or use the API inbox to capture candidates from your website. Once imported, they are available for search, matching, and CV creation.

In Settings, you can configure templates and branding, manage external profile settings such as email flows, GDPR guardrails, and API inbox, control user roles and permissions, and set up API integrations.

Admins have full access to settings, users, and data. Members can manage their own profile and work with CVs.

Kantalop supports an API inbox for incoming candidates and freelancers, MCP integrations for interacting with your data through tools such as Claude or ChatGPT, and custom integrations on request.
